Ash Croft Veterinary Practice LLP - Privacy Policy

This privacy policy explains what personal information we keep, what we do with it and the limited circumstances in which we may share your data with others.
This privacy policy is subject to change periodically to reflect future GDPR amendments.

Who we are
Ash Croft Veterinary Practice LLP is an independent provider of small animal healthcare in South Cambridgeshire.  Our registered address is 169 St Neots Road, Hardwick, Cambridgeshire, CB23 7QJ.

Your personal information that we collect and store
In order to identify and treat your animals we collect and store your name, address, telephone number/s and email address.
We do not store any financial details eg your bank or card details.
We may, with your permission, note any health problems you may have to ensure we can meet all of your needs and communicate with you effectively.

How your personal data is used
We may use the information you supply to us in a number of ways:
Your animal details are filed under your name and address
To send you Treatment reminders by email or contact you by phone
The use of Debt Collectors in the case of unpaid accounts.
To process any insurance claims on your behalf.
We do not, and never will, send any unsolicited marketing material

Who we may share your information with
We will not share your information with any third parties for their marketing purposes. We will not sell your data on to any third parties.
Companies working on our behalf: We sometimes use a third party company to help provide some of our services (for example processing laboratory samples). In these circumstances, we will share only the data required to provide the service.
Referral centres, specifically where you the client have asked us to refer your animal to a specialist centre.
We have contracts in place with these third parties that ensure your data is stored safely, will not be used for purposes other than fulfilling our contract with them and will not be retained by them for longer than is necessary.

We may also be required to share your information with insurance companies when processing pet insurance claims. This is necessary to allow you to claim on pet insurance policies.

How long we retain your information
We will keep your personal information for as long as you remain our client.
Once you cease to be our client we will keep your personal information for up to 8 years in order to comply with the rules that apply to us relating to HMRC, Drug record keeping and any other legal bodies that require us to do so.

Your preferences
When you register with us, we will ask you how you prefer to be contacted and for which purpose.
You can update your preferences at any time by contacting the practice by email or in writing at any time. We may ask you for proof of your ID.

Your personal rights
You have the right to request access to your personal information held by us. We will respond within one month and the information will be provided free of charge.
You have the right to ask us to stop using your personal data, restrict how we use or to delete it.
There may be legal or other reasons why we need to retain your data but please contact us if you think we should not be using it.
You also have the right to correct any personal information you believe is incorrect. Please let us know if you think this is the case.
You have the right to ask for your personal data to be transferred to another service provider in a useful format.

In addition to the above, we use standard cookies on our website, which also collect personal information.

If, following your complaint you are not happy with the outcome or our response, you are also entitled to complain to the independent regulatory authority, the ICO.
